New Content Scanning feature in the SoftScan Email Security Service |
In many organisations, who for example handle critical data for clients, it is important to be able to assure that this data is not handed over to a third party, whether it is deliberate or precipitated. It could for example be offensive words or phrases, social security or credit card numbers.
Do you need to be able to handle and control emails being sent and received by your organisation containing specific words, phrases or number combinations, for example to support your IT or communication policy? With SoftScans new email content scanning feature it is now possible.
Content Scanning is integrated in the email security service, and is administrated in SoftScan Manager. Setup is in two simple steps: Create one or more templates with the words or phrases you want to scan for, and create a SMTP rule to handle the actions which should be carried out when a match is found in the email body text.
The intelligent content scanning engine has many built-in advantages:

Use ‘wildcards' to mark letters or numbers that can vary in the scanned emails.
- Supports "Pattern Matching Algorithm". This means that no matter how the sender writes a combination of numbers and letters in the email, the filter will catch it. If you for example scan for the number combination '123456789', the filter will catch both 1-2-3456-7-89 and 123 456 6789.
- Scans both incoming and outgoing emails (if you have Outgoing Scanning activated)
- Choose the designated action when there is a match in the email: Copy, drop, notify, forward, archive (if you have email archiving activated). It is also possible to use the action ‘recipient, e.g. if you want to secure, that sent emails always include a certain phrase (use two SMTP rules - one to match the phrase and one to example drop the emails not matching).
